Answering your Questions

FAQs

  • What is a Virtual Assistant and do I need one?

A Virtual Assistant (VA) is an independent contractor who helps make sure your administrative and technical side of your business are on track or makes sure you're on track in your personal life with the things you need to take care of. They would be considered your right hand or even a valuable part of the team because they make sure no one drops the ball on what’s most important. A VA assists you or your business on a contractual basis from a remote location.

Almost anyone can benefit from a VA!

  • What are the benefits of a VA?

GQA can eliminate time spent hiring and managing another employee, boost customer satisfaction, increase your productivity, and elevate your professional image.

  • When is it time to hire a Virtual Assistant?

You need a Virtual Assistant when the time you spend on administrative demands begins affecting your bottom line.

  • What kind of work can my virtual assistant do?

Our VA's are skilled in a variety of business-related tasks. Much of the work you do in your business can be delegated to a well-trained assistant. We will talk more about your expectations and preferences. Once we know more about you, we'll find the best GQA to fit your needs and introduce them to you during our onboarding call. You can start sending projects to your GQA right after the call. Some examples of common tasks include:

    ■ Administrative tasks such as uploading content to websites; proofreading material that you've written; managing forms and documents; managing your email, chat, and telephone communication channels; paying bills; following up on projects with other contractors; research; etc.

    ■ Marketing tasks such as blogging; social media management; social bookmarking; account creation and management at forums, social networking sites, etc.

    ■ Customer service tasks such as monitoring and responding to email, chat, and telephone calls; following up with clients who have ordered; tracking purchases via tracking numbers; order fulfillment; basic problem solving and troubleshooting, etc.

    ■ Sales tasks such as basic lead generation; prospect qualification; customer and competitor research; objection handling; order fulfillment; follow-up; cross-selling, etc.

    ■ Management tasks such as project management; calendar and scheduling management; email management; customer relationship management; delegation management, Travel management; etc.

  • Why would I want a VA if it costs more than an employee onsite?

When you're comparing plans, you may wonder what value you'll receive for a price range of $36.00/hour to $80/hour. After all, isn't it cheaper to hire someone to just work at your office?

This isn't a true "apples-to-apples" comparison, though. That's because you're only factoring in the wage you pay your onsite assistant. You need to also consider the cost of office equipment, overhead, any benefits or perks you provide, and then there are the additional costs of your time during the hiring, training, reviewing (and, sometimes, even firing) process.

These are expenses that you don't have to pay for with GQA. When you add up these costs, that "cheaper" onsite assistant is actually quite a bit more expensive.

At GQA, we provide VA's who are hired, trained, regularly reviewed, they have their own equipment, and they don't cost you a dime in overhead.

  • Is hiring a VA really "cost effective"?

Because VA's work on an "as needed" basis, a VA can save you money. Clients only pay for the work completed, while not incurring expenses such as benefits, equipment, or supplies.

  • How do I know that my business and customer details will be safe?

Confidentiality is an important part of our business. We offer all clients a legally binding NDA (non-disclosure agreement). We take all security and privacy issues very seriously and stringently insist on the utmost professionalism from our staff at all times. GQA provides confidential information to staff on a need-to-know basis. In addition to this, all VA's are required to individually sign NDA's.

  • I just signed up. What's next?

Welcome! We will talk more about your expectations and preferences. Once we know more about you, we'll find the best GQA to fit your needs and introduce them to you during our onboarding call. You can start sending projects to your GQA right after the call.

  • Where is Virtual Assistance available?

We currently have GQA in the United States, and Canada.

  • What tasks can't my virtual assistant help with?

GQA’s cannot help with any physical errands (though we can help find someone to run them), or tasks that require a specific expertise (legal, advanced accounting...).

  • When is my Virtual assistant available?

GQA work standard business hours, Monday through Friday, and are not required or expected to work on weekends or after 6 p.m. You can send new tasks anytime — if sent after hours, your GQA will have a look as soon as they're back. During business hours, you will always get an answer to your messages in less than 2 hours.

  • How do I communicate with my virtual assistant?

We have an Outlook and a Gmail extension, and an iOS app to help you communicate seamlessly with your double and track projects. On top of that, we'll help you give your GQA access to the tools you already use like Trello and of course, you can always email or call your GQA.

  • Why do you only accept people who have a Google Suite or Outlook account?

We are a small team building tools for both our clients and our GQA, on desktop and mobile. Unfortunately, this means that we've had to make tough choices on where to begin. We recently expanded our app to include Outlook users from previously only accepting G Suite at login. Our mobile app is currently only on iOS, and we have plans to expand to Android in the future, but it is not required to use our service.

  • How do you protect client privacy and data?

Every GQA we hire signs an NDA before they are matched with an executive. The NDA covers all data they receive from third-parties while working with a GQA. This measure protects not only GQA's data, but any and all information our executives share with our GQ assistants while working with us, regardless of which clients they're working with or who provides the information to them.

When executives are onboarded to Gold Quality Assistance, we either ask them to add their GQA to their existing password manager, or we guide them through creating a free and secure 1Password vault through GQA that is shared between them and their new assistant. This ensures all shared, sensitive information is protected.

We also recommend our clients interact with their assistant through our GQA mobile app, desktop app, or Chrome extension. The data passed through these communication tools are always encrypted—both at rest and in transit.

  • What is your shoot plan process and how will you help me create imagery to advance my marketing goals?

When developing a shoot plan I meticulously assess your brand identity, target audience, and marketing objectives. This involves collaborative discussions to understand your vision. Through strategic composition, lighting, and visual elements, I aim to craft compelling imagery that aligns seamlessly with your marketing goals, enhancing your brand presence and resonance.

  • Do you have a studio?

I do not have a studio because many of my clients have a specific brand aesthetic that they want to match. I have a list of locations from homestudiolist.com in any state they would like to have the branding done, as a shoot location, that I suggest to my clients and my clients always find something that they love there. With that said, You also want a photographer that can review your space first and see if there’s a possibility to shoot there. If styling is something that you would like, and that is provided in one of our packages, I will let you know to bring 3 outfits that could be interchanged with each other. For ex: a blazer and a jacket, a blouse and a nice button up, 2 of your favorite professional work pants, a suit (for men) a dress (for women) and 2-3 of your favorite shoes.

  • Do you have a portfolio?

Yes I do! I have a portfolio for in person consultations as well as located on our website. With the pictures in the portfolio on our website, I will asked for consent from my clients to post their favorite ones and attach any of their social media links to draw more engagement to their social media as well as any websites that lead clients to their website.

  • Can I purchase more images than what’s included in my package?

You absolutely can! Each additional photo will be an additional $20. There will already be 5-15 edited photos given to my clients from the 100 pictures we will take along with an edited video from the videography needed for their marketing endeavors, depending on the package that they choose from.

Pricing

  • How does billing work?

GQA offers plans for client use, each plan defines the service offered and billing terms. We will work with you to determine which plan is best for you, in terms of budget and need. Our plans start at just 16 hours per calendar month for $700. After your first month, you can choose to upgrade to another pricing plan that works best for your needs. Each plan includes a set number of hours to be used every calendar month, for any hours your GQA works beyond the included hours, you will be billed at the hourly rate according to your plan. As you upgrade to a higher tier plan the cost per hour reduces further.

The first week of every new month your credit/debit card gets charged for the plan plus any additional hours used in the previous calendar month. Some plans allow you to receive an invoice and pay it online.
